Booking Terms

Purpose

These terms apply when you book a place at any of my classes. By booking, you agree to them.

In short

Your place is confirmed when payment is received. Classes are booked as a block, so missed sessions are not refunded, but I'll send a catch-up activity home. You can cancel before the block starts for a full refund. If the first session isn't right for your child, tell me within 48 hours for a refund of the remaining lessons. After that, refunds aren't available unless I can fill your place. If I cancel a session, I'll offer a make-up or a refund for it. If too few students book, I may cancel the class and refund you in full. Please collect your child on time, and tell me about any allergies or needs when you book. The full terms are below.


Booking and payment

  • Who I am: classes are run by Nicky Hodge, a sole trader, trading as ArtHouse26.

  • Booking a block: classes are sold as a block of sessions for one student. The dates, times and price are shown on each class page.

  • Confirming your place: your place is confirmed once payment is received. Until then, it isn't held.

  • Paying: you pay online when you book, through Bookwhen and PayPal.

  • GCSE payment: the GCSE class fee is paid in one payment when you book. If you need to split it, please contact me before booking and we can agree a payment plan.

  • Changes to a block: you can't swap dates within a block, but ask me and I'll try to help where I can.


Missed sessions, late joiners and cancellations

  • Missed sessions: if your child misses a session, it can't be refunded or swapped while your child stays on the block. I'll send a catch-up activity home if you let me know.

  • Late joiners: if you join after the block has started, you only pay for the sessions that remain, at the usual price per session.

  • If you cancel before the first session: you'll receive a full refund.

  • If the first session isn’t right for your child: tell me within 48 hours after the first session and I’ll refund the full block fee. That gives me time to offer the place to someone else.

  • If you cancel after that: I can’t offer a refund for the remaining sessions, but if I’m able to fill your place I’ll refund the sessions I’m able to fill.

  • If I need to cancel or change a session: I'll tell you as early as I can, and offer a make-up session or a refund for that session.

  • Minimum numbers: if too few students have booked by the booking deadline shown on the class page, I may cancel the class and refund you in full.

  • If I need to ask a student to leave: if a student repeatedly disrupts the class or puts others at risk, I'll speak to you first. If the problem continues, I may ask them to leave, and fees for the remaining sessions are not refunded.

Arrival, collection and safety

  • Arriving: please arrive about five minutes before the class starts, so we can begin on time.

  • Collection: please collect your child when the class ends. Tell me in advance who will collect them, and I'll only hand a child to a named adult. Older students can leave alone only if you've agreed that with me in writing.

  • If a child isn't collected: I'll stay with them, and contact you and your emergency contact.

  • Behaviour: I expect students to treat each other and me with respect. Bullying isn't tolerated.

  • Illness: please keep your child at home if they're unwell, especially with anything catching.

  • Allergies and medical needs: please tell me about these when you book, and update me if anything changes. I use this information only to keep your child safe.

  • Emergencies: in an emergency, I'll call the emergency services and then you.

Materials and exams

  • Young Artist Studio Home-Ed Art School: materials are included in the price.

  • GCSE class: most materials are included in the price.

  • Exam entry: the GCSE class fee covers teaching only. Exam entry and exam board fees are paid separately through the exam centre, and I'll explain the costs and process before you sign up.

Photos, safeguarding and privacy

  • Photos: I only share photos of a child, or of their work, with your permission, which you give or decline when you book. You can withdraw it at any time by contacting me.

  • Safeguarding: I hold an enhanced DBS certificate and am fully insured. My safeguarding policy is here: Safeguarding Policy.
